Manage Items
This guide explains how to create and manage items in your inventory.
Creating New Items
Navigate to Items/Inventory > Create Items.
Step 1: Item Type
Select the type of item using the buttons at the top of the item card:
- Inventory Item: Select this for physical goods. You will be required to enter stock levels and buying prices.
- Service Item: Select this for services. Stock and buying price fields may be hidden or optional.
Step 2: Item Details
- Item Name: The display name of the product/service.
- Description: Detailed description, often used on invoices.
- Item Number/Code: A unique identifier for the item (SKU).
- Unit of Measure: e.g., "Each", "Hour", "kg".
Step 3: Pricing & Tax
- VAT Status: Is the item VATable?
- Buying Price (Inventory only):
- Enter either the VAT Exclusive or VAT Inclusive cost. The other will calculate automatically based on the tax rate.
- Selling Price:
- Enter the price you charge customers.
Step 4: Accounts & Inventory
- Income Account: The GL account to credit when you sell this item (e.g., Sales).
- Expense/Cost of Sales Account: The GL account to debit when you sell this item (for Inventory items).
- Inventory/Asset Account: The GL account holding the value of the stock.
- Opening Stock (Inventory only):
- Quantity: The number of units currently on hand.
- Value: The total value of that stock.
Bulk Creation
You can add multiple items at once by clicking "Add Another Item" (if available) or using the CSV upload feature on the main list page.
